Choose the audience deliberately
A class update, department discussion and institution-wide circular serve different people. Check how the sender chooses the audience and whether the system records that audience when publishing. Later class changes should not rewrite the historical meaning of a notice.
Separate sent, read and acknowledged
These are different facts. A saved notification does not prove that an email was delivered. Opening a notice does not necessarily mean that the person acknowledged it. Ask the system to explain each status, and how the underlying evidence is recorded.
Keep corrections understandable
Teachers and administrators sometimes need to correct or withdraw published information. Review the lifecycle: the updated record should be understandable to the family, and previous receipts and revisions should follow the institution’s retention policy.
Connect the message to the work
An attendance alert should lead to the relevant permitted record. A homework update should make its due date and class context easy to find. Test these links from the intended recipient’s identity; a manager’s working link is not proof that a parent can open it.
Make delivery commitments explicit
GENVEB’s Communication Centre includes messages, circulars and in-app notifications. Email, SMS and WhatsApp automation are not currently wired for delivery; push needs its supported setup and device permission. Confirm what is enabled before rollout, and keep a practical contact process for urgent issues that cannot depend on a person checking an app.
